Job Description
CareMessage is seeking a highly capable and strategic Senior Executive Assistant (EA) to support the Chief Revenue Officer (CRO) in advancing CareMessage’s mission, external partnerships, and revenue strategy. This role is designed for a seasoned professional who can operate at the intersection of execution and strategy, and who brings both operational discipline and communication fluency to the table.
Responsibilities
- - Act as a key partner to the CRO in tracking strategic priorities, coordinating quarterly and annual goals, and managing time and focus
- - Manage the CRO’s email inbox with discretion—drafting and replying to high-priority communications, triaging requests, and preemptively resolving low-barrier issues
- - Prepare and maintain executive dashboards, QBR materials, OKR trackers, and team-wide reporting documents
- - Own the execution timeline for board updates and external briefings, including content collection, editing, and final prep
- - Support the CRO in orchestrating multi-team execution: identifying misalignment, resolving blockers, and surfacing tradeoffs early
- - Manage follow-through for leadership team meetings, ensuring accountability loops are closed and progress is tracked
- - Join internal and external meetings as a proxy when needed, capturing next steps, providing context, and aligning stakeholders post-meeting
- - Coordinate logistics and prep for funder, partner, and board interactions—including briefs, research, and talking points
- - Draft and maintain high-impact assets (e.g., decks, one-pagers, battlecards, board-facing materials)
- - Help develop external thought leadership content and impact communications
- - Maintain documentation hygiene and content versioning across shared drives
- - Coordinate with Marketing, Revenue Enablement, and Customer Success to ensure messaging consistency
- - Manage Hubspot priorities for CRO-led deals
- - Draft and maintain high-impact content: funder decks, external one-pagers, partner-facing comms, and grant-related updates
- - Support the CRO with preparation for webinars, speaking engagements, and strategic conferences (deck building, logistics, follow-up)
- - Collaborate with the Marketing team on copywriting, brand-aligned materials, and the rollout of key announcements or campaigns
- - Own light-touch customer campaigns such as anniversary letters, leadership thank-yous, or mission impact updates tailored to key segments or funder-facing accounts
- - Serve as a strategic liaison to partners and funders for progress updates and follow-up deliverables
Required Skills
- - 5+ years of experience in executive support, business operations, or strategic program management—ideally within a nonprofit, SaaS, or healthcare-adjacent environment
- - Managed priorities across internal teams and external stakeholders
- - Comfortable owning follow-through on internal initiatives and preparing high-level materials for funders, partners, and board members
- - Supported C-level executives or founders and understand how to anticipate needs, reduce administrative load, and elevate leadership capacity
- - Comfortable in fast-paced, data-driven, high-accountability roles
- - Experience with tools like Google Workspace, Notion, Canva, HubSpot, Mosaic, and project management platforms like Asana
- - Strong project management skills with a track record of managing multiple initiatives, priorities, and deadlines independently
- - Proven ability to navigate and manage confidential, time-sensitive, and cross-functional workstreams with clarity and follow-through
- - Analytical mindset with experience interpreting performance data and surfacing insights or recommendations
- - High emotional intelligence and political acumen, with the ability to build trust across teams and stakeholders
- - Familiarity with CRM systems (e.g., Salesforce, HubSpot, Mosaic) and basic data reporting or executive dashboard tools
- - Alignment with CareMessage’s mission to improve health equity for low-income populations
Benefits
- - Competitive salaries and benefits packages
- - Flexible work hours; fully remote team
- - Paid parental leave for biological and adopted children
- - Half-day Fridays, every Friday
- - 18 paid company holidays, including a one week mid-year and one week end-of-year break

- - 15 days of PTO
- - 1-month (20 working days) paid sabbatical after the 4-year anniversary, and every 4 years thereafter
- - Generous medical, dental, and vision insurance for employees and their families
- - Health Savings Accounts and Flexible Spending Accounts
- - 401k retirement plan
- - Short & long-term disability insurance
- - $100 per employee yearly wellness budget, with flexibility to spend on physical, emotional, and mental wellness resources
- - PerkSpot: Instant access to discounts on products & services from hundreds of vendors
- - Annual budget for professional and personal development (webinars, online courses, books, and more)
- - Volunteerism incorporated in onboarding and encouraged on an ongoing basis
