
Operations Manager/Services Assistant

Responsibilities
- - Serve as operational partner and right-hand to the Head of Services
- - Oversee daily workflows to ensure alignment, accountability, and consistency across advisors and coaches
- - Manage scheduling, e-mail campaigns, workload tracking, and demand vs. capacity planning
- - Support onboarding of new advisors and coaches; continuously improve the onboarding experience
- - Own the end-to-end billing process, including invoicing, reconciliation, audits, and revenue tracking, automating whenever possible
- - Manage monthly advisor and coach compensation processes
- - Maintain and manage the compliance calendar
- - Ensure timely completion of filings, annual reviews, quarterly holdings reports, email reviews, attestations, vendor due diligence, and required testing
- - Become the internal expert on our tech stack (CRM, financial planning software, billing software, scheduling tools, etc.)
- - Build and maintain dashboards that provide accurate, real-time visibility into performance metrics
- - Identify inefficiencies and implement scalable process improvements
Required Skills
- - 2+ years of experience in operations, client service, or administrative support within an RIA, wealth management firm, or financial services environment
- - 2+ years of supervisory or contractor management experience preferred
- - Working knowledge of RIA operations, compliance processes, billing, and advisor workflows
- - Strong proficiency in Google Sheets (dashboard building required)
- - Experience auditing work for quality and tracking performance metrics
- - High attention to detail and strong follow-through
- - Clear, professional written communication skills
- - Ability to manage recurring operational processes with consistency and reliability
